Special Figures SA ("we", "us", "the School") is committed to protecting the privacy of our students, their families, and anyone who interacts with us. This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and what rights you have.
This policy applies to all activities of the Skating School of Switzerland, including regular training, camps, choreography, competition coaching, and our online services.
The data controller is:
Special Figures SA
Route du Centre Sportif 1
1874 Champéry
Switzerland
For any questions about data protection or to exercise your rights, please contact us at: [email protected]
We collect personal data for different purposes depending on your relationship with us. The categories of data we collect may include:
Identification and contact details — such as name, date of birth, gender, nationality, address, phone number, and email address.
Skating and training information — such as training background, competitive level, coaching details, skills, competition results, performance videos, and music files.
Health-related information — where voluntarily provided, such as medical conditions, injuries, or dietary requirements relevant to your participation in our activities.
Emergency contact details — name, relationship, phone number, and email address of a designated emergency contact.
Billing and payment information — necessary to invoice you and process payments.
We use this data to assess applications, organise and deliver training and other services, communicate with you about schedules and logistics, ensure the safety of participants, and fulfil our legal obligations.
Photographs and videos may be taken during our activities for promotional, educational, and archival purposes. These images may be published on our website, social media channels, affiliated social media channels, printed marketing materials, and other publications, or shared with sports governing bodies, national skating federations, media outlets, and partners of the School. For certain activities, such as camps, the use of images may be subject to a separate Photography Release.
If you have requested to receive information about our offerings, or if you are a current or former client, we may contact you by email about upcoming camps, programs, or other services. You may opt out at any time by contacting us.
If you contact us with a question — for example about our programmes, camps, or accommodation — we collect the information you choose to provide, such as your name, contact details, and the content of your message. We use it to respond to you and, where relevant, to take steps towards a contract at your request. We process this data on the basis of our legitimate interest in handling enquiries and, where applicable, pre-contractual measures.
Our websites use cookies only where necessary for their functioning. We do not use analytics tools or tracking technologies.
We process your personal data on the following bases:
Performance of a contract — when processing is necessary to deliver the services you have registered for, such as training, camps, and related logistics.
Consent — for marketing communications, the use of images under the Photography Release, and any other processing for which we specifically request your consent.
Legal obligations — where we are required to retain data under Swiss law, such as financial and accounting records.
Legitimate interests — for the internal administration of our activities, safety of participants, and communication with existing clients, where such interests are not overridden by your rights.
Your personal data may be accessed by employees of Special Figures SA who need it to carry out their role, such as coaches, administrative staff, and management.
We do not sell or share your personal data for commercial purposes.
In certain circumstances, we may share limited data with the following:
Sports governing bodies and institutions — the ISU, Swiss Ice Skating, national skating federations, regional skating associations, and the National Sports Database (BDNS), where required by their regulations or in connection with competition entries, development programmes, or subsidy applications.
Public authorities — the municipality of Champéry or other local authorities, where required for the administration of club memberships, subsidies, or the visitor's tax (taxe de séjour).
Educational institutions — training schedules, competition dates, or other relevant information may be shared with a student's school where necessary to support the student's sporting and academic commitments.
Travel and accommodation providers — where we book travel, accommodation, or other competition-related services on behalf of a student, we share with the relevant providers (such as airlines, hotels, and event organisers) the data necessary to make the booking, which may include identity document or passport details.
Debt recovery — where invoices remain unpaid, we may share the data necessary to recover the amounts due with debt collection providers, legal advisers, and the competent authorities (such as the debt enforcement office).
Service providers — we use third-party tools to operate our services (see Section 5). These providers process data on our behalf and are bound by their own data protection obligations.
We use the following tools to operate our activities:
My Skating School (my.skatingschool.com) — our training management application, used to manage student profiles, registrations, lesson records, music files, and communications. Hosted by DigitalOcean in Frankfurt, Germany, and delivered through Cloudflare's content delivery network, which processes visitor IP addresses and sets cookies strictly necessary for security and functioning. Our public website (skatingschool.com) is also hosted by DigitalOcean.
Google Workspace — used for email, document storage, and forms. Data is processed by Google under their data protection terms.
Slack — used for internal team communication.
CloudBeds — used for accommodation bookings and management.
RDDM Check-in — the guest registration platform for the Illiez Card, used to declare overnight stays and account for the visitor's tax (taxe de séjour), as required by law.
Infoniqa One Start (Infoniqa Schweiz AG) — our accounting software, used for invoicing and financial records.
Aiving Jump Tracker — a wearable sensor system used to track and analyse on-ice jump performance. Data is processed by Aiving in accordance with their own data protection terms.
These providers may process data outside of Switzerland, but within the European Economic Area, which is recognised by Switzerland as providing adequate data protection. Where data may be transferred beyond the EEA, appropriate safeguards are in place through the providers' standard contractual clauses.
We retain personal data only as long as necessary for the purposes described in this policy.
Client data — retained for as long as reasonably necessary to deliver our services and inform you of future offerings, unless you opt out or request deletion.
Financial records — retained for a minimum of 10 years as required by the Swiss Code of Obligations.
Photography and video — retained indefinitely unless you request removal, in which case images will be removed from channels under our control within 30 days. Images already printed, distributed, or shared with third parties cannot be recalled, and may persist in third-party caches or archives beyond our control.
You may request deletion of your data at any time, subject to any legal retention obligations.
Under the Swiss Federal Act on Data Protection (FADP), you have the right to:
Access — request confirmation of whether we process your personal data and, if so, obtain a copy of it.
Rectification — request correction of inaccurate or incomplete data.
Deletion — request deletion of your personal data, subject to any legal retention obligations.
Data portability — request that your data be provided to you or another controller in a commonly used format.
Withdrawal of consent — where processing is based on consent, you may withdraw it at any time. This does not affect the lawfulness of processing carried out before the withdrawal.
Objection — object to processing based on legitimate interests.
To exercise any of these rights, please contact us at [email protected]. We will respond within 30 days.
If you believe your data protection rights have been violated, you have the right to lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC).
Many of our students are minors. Where the student is under eighteen years of age, personal data is collected and managed through the student's parent or guardian. Parents and guardians may exercise any of the rights described in Section 7 on behalf of their child.
We take particular care with children's data and do not use it for any purpose beyond what is described in this policy.
We may update this Privacy Policy from time to time. The current version is always available on this page. We encourage you to review it periodically.
